Clients (Formal Engagement)
For clients who engage our travel advisory services, personal information is collected only after you have signed our Client Agreement, which outlines in detail how your information will be collected, used, and stored. If you have not signed a Client Agreement, we do not retain any personal information beyond your name and email for newsletter purposes.
3. Information We Collect from Clients
Once a Client Agreement is in place, we may collect the following as needed to book and manage your travel:
Personal Identification
• Full legal name and date of birth
• Passport number, expiration date, and country of issue
• Government-issued ID information (as required by Suppliers)
• Contact information (email, phone, mailing address)
Travel Preferences and Special Needs
• Dietary restrictions and special meal requests
• Accessibility and mobility needs
• Travel preferences and interests
• Loyalty program numbers (airline, hotel, cruise)
• Emergency contact information
Payment Information
• Credit/debit card information (processed securely)
• Billing address
Payment card data is processed through secure, PCI-compliant systems. We do not store full card numbers.

Newsletter Subscribers
Your name and email are used only to send you the Riposo Travel Co newsletter and related communications. We do not share, sell, or use this information for any other purpose. You can unsubscribe at any time.
Clients
Client information is used solely to:
• Book and manage travel arrangements on your behalf
• Communicate booking confirmations, itineraries, and travel updates

• Comply with Supplier and government requirements

We will not use your information for any purpose not outlined in your signed Client Agreement without your explicit consent.
5. How We Share Your Information
Newsletter Subscribers
We do not share newsletter subscriber information with any third party, except as required by the email platform we use to send newsletters (e.g., Mailchimp or similar). That platform’s own privacy policy governs their handling of your data.
Clients
Client information is shared only as necessary to fulfill your travel arrangements:
• With Suppliers (airlines, cruise lines, hotels, tour operators) to complete bookings
• With our host agency for booking and commission processing
• With travel insurance providers, if you elect coverage
• With government or regulatory authorities as required by law
We do not sell your personal information to any third party, ever.
6. Data Storage and Security
Newsletter subscriber data (name and email) is stored within our email marketing platform and is retained until you unsubscribe or request deletion.
Client data storage details are outlined in your signed Client Agreement. We implement appropriate safeguards to protect all information from unauthorized access, alteration, or disclosure. Booking and financial records are retained for a minimum of seven (7) years for legal and tax compliance, after which they are securely deleted or destroyed.
7. Your Rights
Whether you are a newsletter subscriber or a client, you have the right to:
• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your data, subject to legal retention requirements
• Unsubscribe from our newsletter at any time
• Withdraw consent for any use of your data beyond what is required
